1 Choose the right platform

Depending on your goals, audience, and budget, you might want to use different platforms or tools to host your VR event or meetup. For example, you could use social VR apps like AltspaceVR, VRChat, or Rec Room to create and join custom spaces, interact with avatars, and access various activities and games. Alternatively, you could use web-based platforms like Mozilla Hubs, Frame, or Spatial to create and share 3D scenes, collaborate on projects, or present slides and videos. You should also consider the compatibility, accessibility, and security of the platform you choose, as well as the features and functionalities it offers.

2 Plan the content and format

Once you have chosen the platform, you should plan the content and format of your VR event or meetup. Depending on the type and purpose of your event, you might want to have a specific agenda, theme, or structure. For example, you could have a keynote speaker, a panel discussion, a workshop, a demo, a Q&A session, or a networking session. You should also decide on the duration, frequency, and timing of your event, as well as the number and role of participants. You should communicate these details clearly and in advance to your attendees, speakers, and moderators.

A proper agenda that is accessible to all attendees is paramount to helping your audience have the best experience in your event. As I mentioned earlier, speakers and/or users usually need a prior onboarding session so they can get used to the platform, plan ahead and have good FAQ and Help pages with how-to videos and detailed explanations of key concepts and/or interactions taking place within the platform.

3 Test and troubleshoot

Before you host your VR event or meetup, you should test and troubleshoot your platform, content, and equipment. You should check the audio and video quality, the internet connection, the battery life, and the controller functionality of your VR headset and devices. You should also test the functionality and performance of your platform, content, and interactions. You should have a backup plan in case of technical issues or glitches, such as alternative links, devices, or platforms. You should also have a way to contact your attendees, speakers, and moderators in case of emergencies or changes.

Have a collaborator group in a live chat platform so you can have clear conversations with the team, this way if trouble arises you'll at least have a connection with the people involved in different processes. I've had events where we would have three Whatsapp groups for organization, technical direction and speakers. This way you can broadcast information to all the people involved in each of your key areas. Having a backup plan is also important as these new platforms can crash or have connectivity issues at times. Consider how many users you are expecting and how many CCU's (Concurrent Users) your platform can handle without bursting into flames. Also take measures for reporting usage and connections throughout your event.

4 Engage and moderate

During your VR event or meetup, you should engage and moderate your audience and speakers. You should welcome and introduce everyone, explain the rules and expectations, and facilitate the interactions and discussions. You should also monitor and manage the chat, voice, and gesture features, as well as the privacy and safety settings of your platform. You should be respectful, inclusive, and supportive of everyone's opinions and feedback. You should also encourage and acknowledge participation, questions, and contributions.

Have clear instructions/rules of use of your immersive space and enforce a zero tolerance approach towards bad behavior. Depending on your setting and goals, measures can loosen up or stiffen. If your event requires moderation be sure to pick the right platform that offers those options. Train virtual hosts so they can help with solving user's problems in real time and also help with moderating users.

5 Follow up and improve

After your VR event or meetup, you should follow up and improve your hosting skills and experience. You should thank and appreciate everyone who attended, spoke, or helped with your event. You should also collect and analyze feedback, data, and insights from your attendees, speakers, and moderators. You should identify what worked well and what could be improved for future events or meetups. You should also share the highlights, outcomes, and learnings from your event or meetup with your community and network.
